Lettings and Events Manager

Purpose

Works to maximise revenue from both room hire and internal events run for profit.

Responsibilities

Lettings / Room Hire

  • Provides excellent customer service to clients and prospects hiring rooms at the venue, both in person and via telephone and email communications.Acting as the first point of contact for enquires of all types.
  • Liaises efficiently with the Catering department to arrange required resources and staffing
  • Liaison with Abbey staff and departments for internal room hire use such as PCC, education and tours, moving internal customers as required to accommodate and maximise revenue from commercial customers.
  • Maximises revenue through selling of packages and services to prospects and clients, such as catering provision.
  • Actively promotes Hexham Abbey as a venue for all possible room hire clients, via effective sales and marketing efforts
  • Efficiently manages venue operations through the management of event set up and take down with the caretaking team.
  • Ensures venue is clean and fit for use through effective liaison with the caretaking/cleaning team.
  • Manages administration including invoicing and accounting with the assistance of the administrator, putting in place and monitoring efficient processes as required.

Events

  • Helps to conceptualise and create internal events run by the Abbey for profit, such as concerts, performances, fairs and exhibitions.
  • Manages the delivery of internal events with efficient planning and liaison with other staff and departments
  • Helps to sell and market events both in conjunction with other staff and independently.

 

Person Specification  - Required Experience & Skills

  • Minimum of 2 years specific events/event management or hospitality sector experience

 

  • Good understanding of office software and technology/communications systems, such MS Office, event management software and social media platforms.
  • Event operations knowledge including equipment, set up procedures, staffing needs, cost control/budgeting
  • Customer service expertise, dealing with a wide variety of clients
  • Basic sales and marketing in a revenue/audience generation context

 

Working Hours & Benefits

  • Standard 37.5hrs per week, although additional demands may require some additional working hours.
  • Occasional weekend working to cover events such as weddings and performances
  • £20,000 basic salary
  • Performance based bonus of up to £5,000 per annum
  • 28 day annual holiday allowance

Business Administrator

Purpose

Assists the commercial operations of Hexham Abbey Heritage Trading Ltd, through administration management, customer service, sales and marketing support

Manages the operations of group tour visits to the Abbey in conjunction with the Heritage and Catering departments.

Responsibilities

Lettings / Events

  • Provides support to the Lettings and Events Manager in all operations, including customer service, sales and marketing, invoicing and general administration
  • Liaison with clients both in person, via telephone and email communications.
  • Liaison with Abbey staff and departments for internal room hire use
  • On occasion assists with the delivery of events in the form of onsite staffing and front of house operations

Catering & Retail

  • Liaison with Catering Manager to assist with general administration around the Café and Event Catering business
  • On occasion assists with delivery of catering operations in the form of event staffing and back of house operations.
  • Liaison with the Retail Manager to assist with general administration around the Gift Shop and retail areas of the Abbey.
  • On occasion assists with staffing of the Gift Shop.

Assistance to the General Manager

  • Provides administrative support to the General Manager in the form of ad hoc projects, including sales and marketing efforts and operations management.

Group Tours

  • Manages all bookings, invoicing and administration/follow up with tour operators and clients
  • Acts as the single point of contact for all Abbey Group Tours, including liaison with stewards/guides and the catering team to ensure appropriate onsite resources are in place for maximum client satisfaction.

Person Specification  - Required Experience & Skills

  • Minimum of 1 year general office administration experience OR similar transferable skills.
  • Proficient with office software and technology/communications systems, such MS Office and social media platforms.
  • Very high attention to detail and accuracy in all working practices
  • Customer service expertise, dealing with a wide variety of clients

Working Hours & Benefits

  • 18hrs per week – flexible days, but no less than 3 days per week - ie. 3days x 6hrs or 4days x 4.5hrs
  • Occasional weekend working to help cover events such as weddings and performances
  • £8.50 per hour
  • 5.6 weeks annual holiday allowance
