Lettings and Events Manager - closing date 22nd June 2018

Hexham Abbey is looking to recruit a Lettings & Events Manager.  Our functions rooms and the Abbey itself are used for a variety of events; from musical performances to wedding receptions, parties, gala dinners and we also host smaller regular meetings which take place weekly/monthly.  We are seeking an individual to be the face of the lettings division, dealing with all manner of clients to maximise outcomes in terms of event experience and commercial success.  Weddings and parties taking place in our Great Hall are one of the major areas of focus, and the Events Manager will be expected to be onsite during these events, meaning that the position involves semi-regular weekend and evening hours.

The position would suit someone with a passion for customer service, social events/entertaining and an appreciation of working within an historic and iconic venue.

Job Purpose

Works to maximise revenue from both room hire and internal events run for profit.


  • Provides excellent customer service to clients and prospects hiring rooms at the venue, both in person and via telephone and email communications.Acting as the first point of contact for enquires of all types.
  • Liaises efficiently with the Catering department to arrange required resources and staffing
  • Liaison with Abbey staff and departments for internal room hire use such as education trips and tours, moving internal customers as required to accommodate and maximise revenue from commercial customers.
  • Maximises revenue through selling of packages and services to prospects and clients, such as catering provision.
  • Actively promotes Hexham Abbey as a venue for all possible room hire clients, via effective sales and marketing efforts
  • Efficiently manages venue operations through the management of event set up and take down with the caretaking team.
  • Ensures venue is clean and fit for use through effective liaison with the caretaking/cleaning team.
  • Manages administration including invoicing and accounting with the assistance of the administrator, putting in place and monitoring efficient processes as required.

Person Specification - Required Experience & Skills

  • Minimum of 2 years specific events/event management or hospitality sector experience
  • Good understanding of office software and technology/communications systems, such MS Office, event management software and social media platforms.
  • Event operations knowledge including equipment, set up procedures, staffing needs, cost control/budgeting
  • Customer service expertise, dealing with a wide variety of clients
  • Basic sales and marketing in a revenue/audience generation context

Working Hours & Benefits

  • 40hrs per week, although additional demands may require some additional working hours.
  • Regular evenings/weekend working to cover events such as weddings and performances (time off through the week can be balanced)
  • £20,000-£23,000 basic salary
  • Performance based bonus of up to £3,000 per annum
  • 28 day annual holiday allowance (inc. public holidays)

We are always looking for Volunteers who would like to help out here at Hexham Abbey.  This could be guiding and stewarding visiting groups, for those with an interest in history who enjoy helping and interacting with people.  Our Gift Shop and Cafe are also partially staffed with volunteers who simply enjoy keeping busy and giving people a warm welcome as they visit our site.
